Job Description

Recording Specialist - Receive documents from overnight mail/disbursement department - Scan documents into system - Review documents for the following items: -Vesting -Signatures / Dates -Notary Acknowledgements are complete -Legal Description is attached -State/County specific forms / margin requirements -Checks are made out to the correct party, and for the correct amount -Any corrections made must be initialed -All non-recordable documents to be returned to lender/seller etc. Documents to be eRecorded: - Scan documents and upload a copy to operating system. - Submit documents through Simplifile for recording - Monitor SimpliFile for recorded/rejected documents - Once recorded, upload copies to operating system, and provide originals to the policy department - If rejected, work on rejection until docs are approved and recorded - Complete events in operating system, and update notes Documents to be sent to the County for recording: - Print UPS / FedEx Label for documents to be sent to - Create a file to include original documents, UPS Sheet to the disbursement department - Disbursement department to print checks, and send documents for recording - Follow-up with the Abstractor and/or County Recorder until recording information is received - Monitor/address any rejects until they are acceptable by the county - Once recorded, update events and notes in operating system Other Duties: Create/deliver training materials specific to state specific forms etc.

    Skills and Expertise

      Skills & Abilities: -Intermediate skills in Microsoft Office, with a focus on Excel and Word. -1+ years’ recording experience required -Demonstrates accuracy and thoroughness. - Time management a plus - Strong organizational skills Decision Making: -On a regular and continuous basis, exercises administrative judgment and assumes responsibility for decisions, consequences and results having an impact on people, costs and/or quality of service within the functional area. Authority: -May oversee or coordinate the work of others. Communication: -Exchanges non-routine information using tact and persuasion as appropriate requiring good oral and written communication skills. Education: -Required: High School Diploma or GED -Preferred: Two years college or equivalent work experience Experience: -One year of related experience required. Additional education may be substituted for years of work experience.
